Exports & sharing

Export Plans, SOPs, Trainings, and Reports into portable files, and share documents using time-bound links.

Where exports and sharing live

  • In each document editor (Plan / SOP / Training / Report), you’ll see a Share tab.
  • When exports are enabled for your workspace, you’ll also see an Exports tab.

Exports

  • Supported export formats: PPTX, PDF, DOCX.
  • Use the format selector to choose what you want to generate, then create an export.
  • The exports list refreshes automatically while an export is generating, and you can also hit Refresh.
  • You can Preview exports (opens a PDF preview in a new tab) and Download completed exports.

Sharing

  • Share links come in two scopes: Internal (for people in your workspace) and External (time-bound links intended for outside recipients).
  • External links require: recipient email + an expiration (1 day / 7 days / 30 days / custom hours).
  • After creating a link, you can view the generated URL, see existing links, and revoke links when needed.
  • Share links use tokenized URLs per document type: /plans/share/<token>, /sops/share/<token>, /trainings/share/<token>,/reports/share/<token>.

Sharing vs publishing to the portal

  • Share links are explicit URLs you generate and can revoke (good for sending a specific document to a specific audience).
  • Publish to portal makes a document available through the portal library (good for broad distribution inside your company, or restricted OTP distribution when configured).
